Project Administrator - THE HAGUE

Our team of advisors works with local partners to equip communities and businesses with the tools, knowledge and connections they need to increase their incomes and gain access to basic services. SNV works across three sectors: Agriculture, Renewable Energy and Water, Sanitation and Hygiene. Several international donors fund our programmes.
THE ROLE
SNV seeks a Project Administrator handling a number of projects taking place across various countries. In this role you are responsible for collecting and recording (financial) data into systems, taking appropriate actions in case of deviations and preparing the financial reports including HR and project related data for the donor. You will support the Project Manager and Senior Finance Officer in ensuring full administrative compliance, data accessibility and accurate insights at any time for the relevant project(s). For some projects you will enter data directly to SNV’s systems whilst for some multi country projects you will coordinate the activities of local country administrators across the projects and consolidate the plans and results.
KEY RESPONSIBILITIES  
  • Reporting and monitoring:
  • Review and check data, time and costs booked to the project, check periodically together with the project manager the administration;
  • Support the project manager in timely, complete and correct financial donor reporting and in preparing budget revisions;
  • Documentation:
  • Assure that all supporting documents for donor reporting are made available according to donor requirements;
  • Archive relevant documentation, keep files complete and up to date and maintain quality and accessibility of archives and files;
  • Human Resources administration:
  • Process the master data mutation forms;
  • Assist the project manager in monitoring the monthly project time writing;
  • General support:
  • Arrange meetings and appointments, receive and answer phone calls and emails, draft correspondence, signal bottlenecks in planning and suggest solutions;
  • Make travel arrangement for project members, attend visitors, manage the project fleet and arrange the project procurements with the approval of the project manager.
REQUIREMENTS
  • MBO level 4 degree in Business accounting/ administration is required;
  • Work Experience: 3 to 4 years of experience in different methods of finance administration and HR processes;
  • Knowledge of administrative systems, for example time writing;
  • Experience working with finance administration in a project management environment;
  • Strong planning skills;
  • Accurate, service oriented, committed to quality and process improvement, good communication skills, flexible and able to manage multiple tasks effectively;
  • Advanced Excel user and a good knowledge of SAP FI/CO or comparable ERP software package is an advantage;
  • Fluency in spoken and written Dutch and English;
  • Willingness to travel to Africa and Asia.
