Organizational Setting

The Department of Management (MT) provides a 'platform of services' that serves as a foundation for the successful delivery of the IAEA's scientific and technical programmes. Its mission statement is as follows: "MT is a partner and a business enabler that champions change and efficiency, leveraging a common purpose". Thus, among other support activities, it assists a scientific manager in recruiting the right expert, helps a technical officer coordinate the purchase of radiation equipment and ensures that all Board documents are translated and distributed on a timely basis to Member States.

The Division of General Services provides service functions throughout the IAEA such as travel and transport support, facilities management, archives and records management, and management of the VIC Commissary. It has five sections.

The Commissary Management Section manages the Commissary at the Vienna International Centre. The Commissary is a tax and duty-free store that is operated under the authority of the Director General of the IAEA. It was established as a self-sustaining and non-profit making operation in order to facilitate the purchase of limited quantities of consumer goods by the diplomats of Permanent Missions of Member States accredited to the UN organizations, staff members of the UN organizations based at the VIC as well as of other authorized organizations.

Main Purpose

Under the immediate supervision of the Supervisor (Cosmetics and Boutique) and the general supervision of the Unit Head and working as a team member, the incumbent actively sells the various products in the Cosmetics Boutique, deals with customer queries, replenishes shelves and performs cashier duties, and performs all assigned duties independently.

Working Relationships

The Sales Assistant, Cosmetics, interacts with Commissary customers from UN Vienna-based Organizations, Permanent Missions and other international organizations regarding product-related enquiries (product locations, product properties, prices, promotions, etc.) and provides assistance and advice to customers' specific questions. The nature of engagement with customers may require elaboration or explanation. He/she exchanges routine or straightforward information with other Commissary staff, especially with those from the Procurement and Invoice Control Units. Furthermore, the Sales Assistant, Cosmetics, provides guidance and inducts external Sales and Promotion Assistants on the Commissary's working environment and on daily work routines.

Functions / Key Results Expected

  • Actively sell all products in the Cosmetics Boutique; provide professional consulting services to customers regarding product suitability for individual requirements; respond to queries and special requests of customers on all skin care products, cosmetics, fragrances and fashion accessories.
  • Carry responsibility for a number of assigned product lines for which he/she issues the Goods Received Reports. In doing so, he/she takes over assigned product lines by verifying correctness of the delivery against delivery papers or invoice and enters into the database system the information on the goods received in an accurate and timely manner. In the case of over-/under-deliveries, wrong deliveries or damaged goods, issue discrepancy reports. Ensure appropriate storage of products as well as their proper and timely transfer to the Cosmetics Boutique.
  • Collect boxes/cases of merchandise from assigned product lines from the Cosmetics Warehouse, open them and replenish the shelves using mobile computing devices to check availability of stock and report any discrepancies. Put products on back wall units and on cosmetic gondolas, utilizing planograms and merchandising guidelines from the respective cosmetic companies. For products not labelled with barcodes, print out and attach to the product the relevant Commissary article numbers.
  • Operate cash registers in the Cosmetics Boutique at times of high customer frequency by scanning merchandise with barcode price label scanner; check if billed amounts match the number of items purchased; receive payments from customers which may be in cash or debit cards. Count received cash payments based on change indicated on the cash register, return accurate change to customers. At the end of the shift, print out the "end of day cash register" slip and hand the total cash intake with the slip to the Supervisor. If required, collect change money from the bank and take cash intake to the bank. Ensure proper maintenance of cash register and report problems to Supervisor.
  • For products not labelled with barcodes, look up on the shelf label the relevant Commissary article numbers and key them in by hand in the cash register.
  • Ensure that only authorized persons are allowed to make purchases by checking grounds passes and pictures at the cash register. Interact with customers and address routine queries/complaints from customers; refer more complex queries/complaints to Supervisor, Cosmetics and Boutique Group.
  • Assist in the established book-stock adjustment procedures and take part in the yearly inventory taking.

Knowledge, Skills and Abilities

  • Familiarity with the extensive range of cosmetic products on the market.
  • High degree of accuracy to identify and label merchandise as well as to handle cash transactions.
  • Good health and physical fitness to carry out moderately strenuous work.
  • Computer skills: Basic knowledge of MS Office 2010 and ability to use databases and Internet.
  • Strong customer orientation with the ability to deal with customers and staff at all levels with discretion and in a professional manner.
  • Demonstrated ability to work in a multi-cultural environment with sensitivity and respect for diversity.

Education, Experience and Language Skills

  • Secondary education, preferably a completed apprenticeship as a sales clerk in the retail industry.
  • Minimum of two years of relevant experience in the field of cosmetics sales; familiarity with the extensive range of cosmetic products on the market.
  • Experience in data entry applications and basic clerical experience are essential.
  • Minimum of one year of working experience involving cashier duties, including operation of related EDP equipment.
  • Language skills: Good knowledge of English is required. Knowledge of another official IAEA language (Arabic, Chinese, French, Russian, Spanish) desirable.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €31 335 (subject to mandatory deductions for pension contributions and health insurance), 6 weeks' annual vacation, pension plan and health insurance.
