OBJECTIVES OF THE PROGRAMME :
Country Office Support Units have been established in the organisational structure to provide support for Managers and staff to fully assume their responsibilities in the Global System Management (GSM) environment and to ensure compliance with organizational policies, procedures, rules and regulations on all administrative and financial matters.
Description of duties:
Under the overall supervision of the Operations Officer and direct supervision of the Regional coordinator the incumbent shall perform the following duties;
- Drafts correspondence on own initiative or on the basis of instructions; or redirecting them as appropriate, drawing the attention of the supervisor or other staff concerned.
- Provides coordinating support in preparation of Regions related meetings, workshops and seminars.
- Assists the RTST in logistical arrangements as appropriate (i.e. hotel booking, accommodation, travel, transport, perdiem payment to external participants etc.)
- Ensures proper administration of physical resources and office arrangement for team members including office equipment, furniture and supplies.
- Assists the RTST members in utilizing their leaves.
- Assists in procurement of material resources to the level delegated to the assigned RHB as and when required by the team in liaison with the central Logistics unit.
- Compiles requests for the procurement of goods and services; acknowledge receipt of goods and services.
- Processes financial transactions and follow liquidation as appropriate.
- Provides admin support to the team members including processing of correspondences; Travel arrangements; Meeting arrangements; requisition of stationery requirements and its inventory; Maintaining a filing system.
- Maintains a database including contact information of counterparts, resource persons and supervisors from the regions.
- Provides secretarial support to the RTS team, including arranging appointments and maintaining schedule, receiving visitors, placing and screening telephone calls and answering queries related
- Liaises with ICT central unit to support the RTST in their ICT requirements
- Performs other related duties as required by the Regional Coordinator
REQUIRED QUALIFICATIONS
Education:
ESSENTIAL:

Completion of secondary, technical or commercial school

DESIRABLE:

- Training in Secretarial Science, Business Administration, accounting, information Science or related field is an advantage
- Diploma in business administration or accounting is desirable
Skills: 
- Excellent working knowledge of both written and spoken English and local language.
- Knowledge of local languages of duty stations applied
- Knowledge of other UN official would be an advantage.
- Experience in administrative support positions UN, NGO or other international organization will be an asset

OTHER SKILLS:

Excellent skill in the use of basic office soft wares like emails, MS excel MS word and Presentation software. Others skill in the use of publisher will be an added asset.

Experience:
ESSENTIAL:

5 to 7 years of working experience
3-5 years of experience in Finance, human resources, general office administration and logistics

DESIRABLE:

Administration experience within WHO/UN or other international or multinational organization will be an advantage
Languages:
- Excellent knowledge of both written and spoken English.
- Knowledge of local languages of duty stations applied
- Knowledge of other UN official would be an advantage.
Additional Information:
Annual remuneration: USD 11, 289 Payable in ETB

Duty station: Ethiopia/ Oromia, SNNPR, Afar, Benishangul, Tigray and Harar Dire Dawa
