Organizational Setting

The Department of Nuclear Sciences and Applications implements the IAEA's Major Programme 2, "Nuclear Techniques for Development and Environmental Protection". This Major Programme comprises individual programmes on food and agriculture, human health, water resources, environment and radiation technologies. These programmes are supported by laboratories in Seibersdorf, Monaco and Vienna. The Major Programme's objective is to enhance the capacity of Member States to meet basic human needs and to assess and manage the marine and terrestrial environments through the use of nuclear and isotopic techniques in sustainable development programmes.

The IAEA Environment Laboratories consists of four laboratories, three of which are located in Monaco and one in Seibersdorf. The Division implements the IAEA Environment Programme and operates in a complex matrix environment with inputs from many parts of the organization, such as the Department of Technical Cooperation for the implementation of projects, and also collaborates with other Departments.

Main Purpose

Under the supervision of the Administrative Assistant to operate the reception desk of the Monaco Environment Laboratories, the Receptionist manages the Monaco library and provides clerical and secretarial assistance to the teams of Electronic Engineering Services and Administrative Support (Director's office Section).

Working Relationships

The Receptionist interacts with all Monaco based staff, all visitors, as well as all who contact Monaco laboratories by phone.

Functions / Key Results Expected

  • Receive all general in-coming calls and distribute them internally.
  • Identify (both incoming and outgoing) mail and distribute to the relevant sections.
  • Receive all visitors after security check and registration.
  • Receive all deliveries after security check and in cooperation with Procurement Assistant.
  • Survey security alarms installed in security guards room in absence of security guard.
  • Support new staff, fellows and consultants with housing and settlement in the area.
  • Provide general clerical support for the teams of Electronic Engineering Services and Administrative Support (Director's office Section).
  • Manage the Monaco library and publications.
  • Coordinate laboratory tours, provide logistical support to meetings, assist the security guards with the distribution of keys and other miscellaneous requests.
  • Serve as a timekeeper for staff in Director's office section.

Knowledge, Skills and Abilities

  • Good interpersonal skills: ability to work as team member in a multicultural environment and to deal with staff at all levels and representatives from the diplomatic community with tact, diplomacy, discretion and respect for confidentiality. Excellent customer orientation.
  • Organizing skills: ability to prioritize work assignments, organize own schedule, perform routine work independently, meet deadlines and adapt to constantly changing demands and multitasking. Ability to manage a heavy workload under time pressure.
  • Communication skills: ability to convey verbal information effectively and to draft routing correspondence and to correct documents in accordance with established standards and requirements.
  • Good verbal language skills in English and French, and the ability to shift between languages easily.
  • Familiarity with the equipment in the reception area and good knowledge of MS 2010 (Word, Excel, Outlook, Powerpoint) which is the IAEA standard.

Education, Experience and Language Skills

  • Completed secondary education.
  • A minimum of two years of relevant secretarial/receptionist working experience, preferably in an international environment.
  • Good knowledge of English and French. Knowledge of another official IAEA language (Arabic, Chinese, Russian, Spanish) an advantage.

Remuneration

The IAEA offers an attractive remuneration package including a tax-free annual net base salary starting at €29 151 (subject to mandatory deductions for pension contributions and health insurance), 6 weeks' annual vacation, pension plan and health insurance.
