Executive Assistant / Office Manager

Triple Jump is looking for a:
Executive Assistant / Office Manager
24-32 hours per week, initially for 1 year, based in Amsterdam, the Netherlands
Triple Jump is a responsible investment management company with a head office in Amsterdam, the Netherlands and regional offices in Georgia, Peru, Mexico and Thailand. Triple Jump manages and administers investment funds that focus on improving access to finance for entrepreneurs in developing countries. The funds we manage reach out to in excess of 350,000 micro, small and medium enterprises in 60 low- and middle income countries.
Due to continued growth and expansion of the scope Triple Jump is looking for a versatile and independent Executive Assistant/Office Manager, to provide full secretarial and administrative support to the Executive team and generally assist in the day to day running of the Executive office.
Expectations
The Executive Assistant / Office Manager is expected to provide comprehensive secretarial support to include, but not be limited to:
  • support the Executive team in daily activities;
  • preparing and scheduling meetings of the Executive team;
  • diary management of Executive team;
  • travel and accommodation arrangements of Executive team;
  • coordinate information and overviews for presentations and reports;
  • managing certain reporting deadlines;
  • managing information, screening, referrals and handle phone calls and incoming correspondence, taking own initiative adding required information for processing;
  • coordinate the investment committee process, which includes IC meeting planning, distribution of IC documents, minutes taking and project related administrative tasks;
  • taking minutes of management team and board of directors meetings;
  • receptionist administrative tasks, such as answering phone calls and receiving visitors;
  • office management activities such as ordering office supplies, keeping the office tidy;
  • back up for the HR officer during holidays.
Job requirements
  • HBO graduate;
  • Minimum 3 years experience preferably in international business and professional environment;
  • Fluent in English and Dutch (written and spoken), preferably also in Spanish;
  • Located in or near Amsterdam;
  • Experience in working with MS office packages (e.g., Word, Excel, PowerPoint, Outlook, Publisher).
