Project Assistant - Child Trends (Minneapolis)

General Description:
Under the supervision of senior researchers, this position will be responsible for assisting with proposals, travel, presentations, record keeping, database management, and other administrative tasks in support of research projects and in support of staff at the MN Child Trends office.
Responsibilities:
  • Provide administrative support to remote office (25%):
    • Serving as point of contact with remote office building management.
    • Maintaining supplies, sorting and distributing mail, assessing general office needs, and coordinating with main office to order supplies and furniture as needed.
    • Coordinating with main office for removal of equipment and/or recycling and offsite storage programs.
    • Troubleshooting copier and phone issues while working with vendors and or IT to remedy issues and training staff to use the equipment (e.g., copier, postage meter).
    • Other office management responsibilities and tasks as needed for the NC office.
  • Provide administrative support to projects and program area (75%):
    • Schedule meetings, webinars, workgroups, and conference calls and handle related logistics including space set up and travel.
    • Manage webinars and other video conference software use and be able to assist in providing support as needed.
    • Anticipate and keep track of upcoming project deadlines
    • Track project expenses, mileage reimbursement forms, and assist in tracking and reconciling staff's time on projects, and submit purchase orders to accounting for all charges.
    • Track and manage gift card disbursement and honoraria agreements with multiple consultants.
    • Create presentations and meeting materials as requested and help with basic research or data tabling tasks.
    • Assist in the preparation of proposals, reports, and other materials or correspondence.
    • Manage all details of moving a product through the design/publication phase (e.g., coordinating with CT communications department, ensuring 508 compliance, checking references, basic editing for typos).
    • Keep electronic versions of project-related products within Early Childhood well organized and up to date.
    • Be proactive by anticipating the needs of senior management
Qualifications
  • Ideal candidate will be a self-starter with excellent organization skills, attention to detail, communication skills and ability to handle multiple tasks simultaneously.
  • Bachelor's degree with a minimum two (2) years administrative or project management experience preferred.
  • Advanced use of Microsoft Word, Excel, Outlook, and PowerPoint required.
  • Experience with webinar and project management software preferred.
  • Spanish language skills a plus but not required.
