PA to General Manager, WE Reserve

Context

The WE Reserve business houses Diageo’s iconic luxury brands – we have an extra-ordinary portfolio that includes brands which are rich in heritage & craft like CARDHU & JOHNNIE WALKER, brands that have amazing stories but are yet to be told like BULLEIT & DON JULIO, and iconic brands such as CIROC. This is an exciting time for our business as we invest in and strengthen our commercial resources and luxury selling capabilities in order to deliver step change growth in Reserve and play a powerful role in driving growth for total Western Europe.

The PA role plays a significant role in supporting the General Manager of the WE Reserve business to deliver our Performance Ambition of doubling the Reserve business in the next two years.


Market Complexity

A good understanding of the market complexities of Western Europe is important as is the ability to work effectively across different countries, functions and teams.

Ability to develop and maintain strong relationships across the WE Reserve business is also a critical success factor for this role.

Leadership Responsibilities

The individual in this role has the ability to work independently and effectively prioritise their own time and others. 
 
They utilise their own initiative in assisting the General Manager in managing their stakeholders and time accordingly.

Purpose of Role

This role is to provide proactive, efficient and quality support to the General Manager, WE Reserve, enabling her to focus on delivering our Performance Ambition. It is a varied and challenging role which requires a high degree of flexibility, initiative and autonomy. Responsibilities include:
 
  • anticipating tasks that need to be completed and to initiate appropriate action and follow through to successful completion on a timely basis
  • providing effective and efficient administrative services and support to the leader
  • effective diary management for the leader and arrange facilities, travel etc. in a compliant and cost conscious manner
  • providing proactive assistance in relation to the management and filtration of telephone calls/messages. Where necessary, providing the leader with sufficient context in an efficient, timely and prioritised manner
  • creating, structuring and managing files in accordance with agreed processes and procedures for the business area, including management of files in accordance with archiving and records retention policy
  • budget management and processing invoices via SAP as required, including purchase order management in a compliant way
 Top accountabilities
 
  1. Proactively manage leader’s diary to maximise her effectiveness. Understand where heavy workload may occur and therefore allow planning time to ensure high quality prep work prior to meetings
  2. Manage coordinate all WE Reserve leadership events.
  3. Budget and cost management. Organise and arrange travel itineraries, locally and overseas, where applicable, ensuring the most cost effective and optimal use of leader’s time. Managing budgets, as applicable, in a cost conscious and compliant way
  4. Ensure effective and efficient fluid communication is maintained with the leader at all times. This includes communication with key stakeholders at all levels
  5. Manage all incoming emails/post effectively and promptly, ensuring that all matters are managed through to completion
  6. Develop and sustain excellent working relationships with all Heads of Reserve and the wider organisation.

 Qualifications and experience required
 
 
  • Previous administrative experience within an agency or luxury goods environment.
